Email, domain settings and complaints

This section gives you access to your ExpertSender CDP settings – everything you need to configure your email sending properly.

Settings

Before you can start sending emails through ECDP, you’ll need to fill in some basic information:

Domain settings

  • Sending domain – this is the address your emails will come from. We set this up when you create your business unit, so you can’t change it here.
  • Default domain for links – this handles all the links in your emails, including unsubscribe and system links. While we set this up initially, you can change it anytime if needed.

Sender settings

These details will show up in your email headers. They’ll also appear as defaults in the message editor, though you can always adjust them for specific campaigns:

  • Default “From” name – use something your customers will recognize easily, like «Anna from YourStore.com».
  • Default «From» email – the email address your messages will be sent from.
  • Default «Reply-to» name – who should customers contact if they want to reply? This can be the same person as in the From field.
  • Default «Reply-to» email – where customer replies will go.

Don’t forget to save your changes when you’re done.

Domain authentication

Here you’ll find information about your email channel status and DNS settings.

Need help setting up DNS? Check out our Email channel configuration guide.

Your email channel status will show one of these depending on where you are in the setup process:

  • Configure DNS records – you can’t send emails yet. DNS records need to be set up first.
  • Configuration in progress – our team is finishing up your channel configuration.
  • Active – your team is finishing up your channel configuration.

What are DNS records?

DNS records help information flow between your customers, your website, and the servers that store your website data.

Think of DNS (Domain Name System) as a translator that converts your store’s domain name (like www.store.com) into the numerical language that computers understand.

In the DNS Settings table, you’ll see your sending domains and link domains with the following details:

Status – what it tells you about your domain setup

  • Wrong value (in red) – the domain in the Value field doesn’t match what’s in the Name field. These need to be identical.
  • Record not found – you haven’t added the DNS record to your hosting service yet.
  • Domain does not exist (in red) – check for typos in the domain name, or the domain might not exist.
  • Verified (in green) – everything’s working correctly.

Other information in the table

  • Name – all domains available in your business unit
  • Type – the specific record type for each domain
  • Value – technical details like IP addresses or server addresses

Use the Check now button to verify your DNS settings. Verification can take up to 48 hours, and you’ll get one of the status results described above.ours and returns one of the statuses described in point 1.

Domain family

This is where you can manually control how IP addresses are distributed across domain families. You can work with local domains or major providers like Google, Yahoo/AOL, and Outlook.com.

ECDP offers three types of IP addresses:

  • Dedicated IP – used only by your business unit. All addresses handle email delivery equally, and we show the complete address.
  • Shared IP – shared among different business units. Even if multiple addresses are assigned, only one name appears in the list.
  • Premium IP – special addresses for delivering to WP/o2, Onet, or Interia. These domains get 100% delivery by default, but only one name shows in the list regardless of how many addresses are assigned.

Distribution of email sending to IP addresses

Each domain family has IP addresses assigned for sending your emails. If you have multiple IP addresses for one domain family, you can split the sending however works best—maybe 75% from one address and 25% from another.

Want to keep it simple? Just click Distribute evenly to spread the load equally across all IP addresses.

If you’re using a new dedicated IP address, warm it up gradually. Start small and slowly increase the volume of emails sent from that address.

This builds a good reputation with internet service providers, keeping your emails out of spam folders.

You have three ways to distribute email sending:

  1. Set total distribution – enter percentage values in the Total field for all addresses in a domain family.
  2. Distribute evenly – click the button to split deliveries equally among shared IP addresses.
  3. Manual control – use the slider next to each IP address or enter exact percentages in the box. Click the padlock next to any IP address to exclude it from automatic distribution settings.

Complaints

Sometimes email addresses don’t respond well to your messages – they might bounce consistently or never get opened. Here’s where you decide what to do with these unresponsive addresses.

Managing these addresses properly helps keep your database clean and protects your sender reputation.

Complaint settings

  1. Set how many complaints you’ll accept from each email address.
  2. Choose what happens next:
    • Add email to blocklist.
    • Revoke selected consents – pick which consent to remove from the dropdown.
    • Do nothing – keep sending to these addresses (not recommended).
